Planning your conference year starts with knowing when the major shows fall. Medical conferences cluster in two peak seasons, with predictable patterns that repeat every year.
January-February: The Quiet Start
The year begins slowly. Most conferences avoid January due to post-holiday budget cycles and weather concerns at northern venues.

March-May: Spring Surge (Peak Season #1)
March through May is the densest conference period. Your exhibit team will be stretched thin.

Warning: ASCO and ATS often overlap or fall on adjacent weekends in late May/early June. If you exhibit at both, you need two booth teams.
June-August: Summer Window
Summer is lighter but not empty. Some of the best value shows happen during the summer months when competition for attendee attention is lower.

How Far in Advance to Plan
Most exhibitors underestimate the lead time required for major shows. Here is the reality:
18+ Months Out: Mega Shows
RSNA, AAOS, HIMSS, and other 10,000+ attendee shows use priority point systems that reward continuous exhibitors. New exhibitors applying for the first time should contact exhibit sales 18 months ahead to understand the process and secure any available space.
12-15 Months Out: Large Shows
ACC, ASCO, AHA, DDW, ACOG, AORN, and similar 3,000-10,000 attendee shows typically open applications 12-14 months before the event. Space is assigned on a first-come or priority basis, with preferred locations going to returning exhibitors.
6-9 Months Out: Mid and Boutique Shows
Smaller conferences (1,000-3,000 attendees) usually have space available closer to the event. However, early application still gets better booth placement.
Key Deadlines to Track
Every conference has four critical deadlines:
- Space application deadline — When you must submit your exhibit application. Missing this means wait list.
- Early bird / full refund deadline — The last date you can cancel without financial penalty. Typically 6-9 months before the event.
- Service order deadline — When you must order electrical, internet, carpet, lead retrieval. Late orders incur 25-50% surcharges at most venues.
- Move-in dates — When you can access the exhibit hall for setup. Large shows assign move-in slots by booth size (larger booths go first).

12-18 months before:

- Register all booth staff

- Create booth collateral and leave-behinds
- Set lead qualification criteria for booth staff
1-3 months before:
- Confirm all service orders (check for deadline surcharges)
- Ship booth materials to venue (allow 2+ weeks for freight)
- Finalize booth staff schedule and training
- Pre-schedule key meetings through conference matchmaking platform
Show week:
- Arrive day before move-in for early setup
- Test all equipment and demos before the floor opens
- Scan every relevant badge, qualify in real time
- Document competitor booths (photos, messaging, traffic)
- Host or attend networking events each evening
Post-show (within 48 hours):
- Send personalized follow-up emails to all qualified leads
- Log all leads in CRM with conference source attribution
- Debrief with booth team: what worked, what did not
