EMS World Expo 2027 runs September 27 to October 1, 2027 in New Orleans, Louisiana. HMP Global, which produces the show, has not named the 2027 venue on its site as of September 25, 2026. More than 300 companies exhibit to paramedics, EMTs, EMS chiefs, educators and medical directors, and HMP Global describes the exhibit hall as a place "where you can test gear before you buy."
If you make a monitor, defibrillator, airway device, stretcher, ambulance equipment or software for EMS agencies, this is the largest single gathering of your buyers and users in the year. This guide covers who attends, what the booths cost, and what to do 90, 60 and 30 days before the show.

Who attends, and why they matter to a device or diagnostics company
HMP Global lists the audience as paramedics, EMTs and AEMTs, military medics, physicians, EMS medical directors, first responders, EMS educators, EMS and fire chiefs, officers and administrators, emergency managers, firefighters and rescue personnel, tactical EMS providers, and nurses and PAs.
The show's own 2025 audience profile by job function, from the 2026 prospectus:
| Job function (2025) | Share |
|---|---|
| Management/Corporate | 34% |
| Advanced Life Support | 26% |
| Basic Life Support | 19% |
| Education | 10% |
| Fire | 9% |
| Other (law enforcement, communications) | 2% |
For a device company this mix matters. About a third of the audience is management, the people who approve purchases for an agency. Most of the rest are the paramedics and EMTs who will use the product every shift and whose opinion the manager asks for. Educators decide what gets taught and practiced on. A good EMS World Expo plan speaks to all three: the manager wants cost, service and training support; the clinician wants to know it works in the back of a moving ambulance; the educator wants to know how fast crews can learn it.
What to do 90, 60 and 30 days out
The show opens Monday, September 27, 2027. Count back from that date. Book space well before the 90-day mark; HMP Global's 2026 contract required the balance by April 28.
90 days out (around June 29, 2027)
- Confirm your booth location and check the 2027 hall hours once HMP Global publishes them. Your meeting schedule has to fit the hours the hall is open, not the full five days.
- Decide which products go on the floor and which can be handled hands-on. The audience expects to touch the gear.
- Build a named list of agencies you want to meet: current customers, agencies with open bids or replacement cycles you know about, and state or regional EMS leaders.
60 days out (around July 29, 2027)
- Start outreach. Email and phone the agency chiefs, operations managers and medical directors on your list, each with a specific meeting time at the booth.
- Look at the education program for sessions in your product area. A session on airway management or cardiac arrest care is a reason for the right people to be in the building, even if it is not a place to meet.
- Order graphics, demo units, furniture and any vehicle move-in requirements. Vehicles have their own move-in rules and deadlines in the exhibitor kit.
30 days out (around August 28, 2027)
- Send final meeting confirmations and calendar holds.
- Train booth staff on the two or three questions each type of visitor asks, and on who follows up with whom.
- Set up lead capture that tags each visitor by role: agency leadership, field clinician, educator, or medical director.
Booth and sponsorship costs
HMP Global has not published 2027 rates as of September 25, 2026. These are the 2026 rates from the 2026 EMS World Expo prospectus, for planning only.
| Booth size | 2026 standard price |
|---|---|
| 10 ft x 10 ft | $4,150 |
| 10 ft x 20 ft | $6,700 |
| 10 ft x 30 ft | $9,200 |
| 20 ft x 20 ft | $11,150 |
| 20 ft x 30 ft | $13,450 |
- Booths larger than 800 sq ft were priced at $17.75 per sq ft in 2026.
- A 10x10 furniture package was $1,100 in 2026 (carpet, one draped table, two chairs, wastebasket, 500-watt outlet). A 10x20 package was $1,400.
Some 2026 sponsorship and marketing prices from the same prospectus:
| Item (2026) | Price |
|---|---|
| Official show guide ad, full page | $2,000 |
| Attendee mailing list | $1,450 pre-show, $1,750 post-show |

Travel, staff time, freight and show services are separate and not published by HMP Global. Get quotes before you commit to a booth size.
Pre-show plays
- Book meetings with agency leaders before the show. Chiefs and operations managers have full schedules. A meeting on their calendar gets more of their time than a walk-up.
- Say what it does in the field. Weight, battery life, cleaning, how it mounts, how it works with the monitor or cot the agency already has. These are the questions field crews ask.
- Use the pre-show mailing list carefully. One clear invitation with a specific reason to visit works better than several generic mailings.
- Tell current customers you will be there. Existing agencies bring colleagues from other agencies to booths they trust.
At-show plays
- Let people use the product. HMP Global sells the hall as a place to test gear. A product people can pick up, load, or practice on will hold attention longer than a video loop.
- Put a clinician on the booth. A paramedic or EMS educator on your team answers field questions in the language crews use.
- Separate the buyer conversation. When an agency leader stops by, move to a quieter corner or a scheduled meeting to talk about cost, service and training.
- Capture the agency, not only the person. Record the agency name, fleet size if they share it, and when they expect to buy.
Follow-up plays
- Follow up within two business days with what you promised: a quote, a demo unit request, a training outline.
- Match follow-up to the role. Agency leaders get pricing, service terms and a reference agency. Field clinicians get product information they can share with their supervisor. Educators get training materials.
- Ask about budget timing. Ask each agency when its next budget or purchasing decision is, and schedule follow-up around that date. Keep contacts that are not ready to buy on a steady schedule of useful information until then.
- Share what you learned with your product team. Field complaints heard at the booth are useful for the next product revision.
Common mistakes at EMS World Expo
- Planning for five days when the hall is open for three. Check the published hall hours before you schedule anyone.
- Talking only to managers. The crews who use the product influence the decision. A product crews dislike is hard to sell to their chief.
- No hands-on demo. This audience comes expecting to try equipment.
- Losing agency details. A badge scan without the agency name and buying timeline is hard to follow up.
Should you exhibit at EMS World Expo in 2027?
Yes, if you sell equipment, supplies, training or software to EMS agencies, fire-based EMS or ambulance services. The show puts agency leaders, field clinicians and educators in one hall.
Probably not as your main show if your product is used only inside the hospital. Emergency department and hospital buyers are a different audience, and a hospital or specialty meeting will reach them better.
