Privacy Policy

This policy explains what information Buzzbox Media collects through buzzboxmedia.com, why, who we share it with, and the choices you have. Buzzbox Media is the trade name of Buzzbox Media LLC, a marketing agency based in Franklin, Tennessee.

1. What we collect

What you give us. When you fill in a form on our site (contact, book-a-call, download a guide, use one of our free tools, or sign an engagement agreement), we collect what you type: usually your name, email address, company, job title and message. If you use our website grader or AI visibility checker, we collect the web address, company name or product category you enter.

What we collect automatically. Like most websites, we collect basic technical information when you visit: pages viewed, the site that referred you, campaign tags in the link you clicked (such as utm codes or a Google Ads click ID), approximate location based on your IP address, browser and device type, and how you interact with pages. We collect this with cookies and similar tools, described in section 3.

What we do not collect. We do not ask for payment card details, government ID numbers or health information on this site, and we do not knowingly collect information from children.

2. Why we use it

To answer your inquiry, send the guide or result you asked for, and schedule calls.
To send a short series of follow-up emails after you submit a form (up to five emails over about 30 days). Every email has an unsubscribe link, and unsubscribing stops the series.
To manage client engagements, including agreements you sign with us.
To understand how visitors use the site so we can improve it.
To measure whether our own advertising works (for example, whether a visitor who clicked one of our Google or Microsoft ads later contacted us).
To keep the site secure, block spam, and find and fix errors.
To meet legal, tax and accounting obligations.

We do not sell your personal information, and we do not use it to make automated decisions that have legal or similar effects on you.

3. Cookies and similar tools

We use these third-party tools on buzzboxmedia.com:

Google Analytics 4 measures site traffic and how pages are used. It sets cookies such as _ga.
Microsoft Clarity records how visitors scroll, click and move through pages (session recordings and heatmaps) so we can find usability problems. Clarity masks text you type into forms.
Microsoft Advertising (UET) tells us when a visitor who clicked one of our Microsoft ads later contacts us.
Cloudflare Turnstile checks that form submissions come from a person, not a bot.
Sentry reports technical errors on the site so we can fix them.
Google Fonts delivers the typefaces the site uses.

We also store small items in your browser (first-party storage) to remember which campaign brought you to the site, so we know which of our marketing works.

Your choices. You can block or delete cookies in your browser settings, and the site will still work. You can opt out of Google Analytics with Google's browser add-on at https://tools.google.com/dlpage/gaoptout, and control ad personalization at https://adssettings.google.com and https://account.microsoft.com/privacy/ad-settings.

4. Who we share it with

We share information only with service providers who help us run the site and the business, and only for the purposes above:

Hosting: DigitalOcean (our web server) and Cloudflare (security).
Email: Resend, which sends form confirmations and follow-up emails.
Lead records: Google Workspace (Google Sheets) and our own client management system.
Analytics and advertising: Google (Analytics and Ads), Microsoft (Clarity and Advertising).
Error reporting: Sentry.
AI tools: our free AI visibility checker sends the company and product details you enter to OpenAI or Google Gemini to generate your result.
Scheduling: our booking links open Talkspresso, a video-call booking platform. When you click a booking link we pass along an anonymous analytics ID so we can tell that the visit came from our site. Information you enter when booking is handled under Talkspresso's own privacy policy.

When a visitor who came from one of our Google ads submits a form, our server may send Google Ads the ad click ID and a scrambled (hashed) copy of the email address so Google can report the conversion to us. Google cannot read the email address from the hashed copy.

We may also disclose information if the law requires it, to protect our rights or someone's safety, or as part of a sale or reorganization of our business.

5. Google API Services

Buzzbox Media uses the Google Ads API to manage and report on Google Ads accounts: our own, and those of clients who have given us access. We use that access only to provide the advertising services the account owner has asked for. Our use of information received from Google APIs follows the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including its Limited Use requirements. We do not sell Google Ads data, we do not use it to build ad profiles of anyone, we do not use it to train general AI models, and we share it only with the account owner or as the law requires. An account owner can remove our access at any time in their Google Ads account settings.

6. How long we keep it

Inquiries and leads: up to 3 years after our last contact with you, unless you become a client.
Client records and signed agreements: 7 years after the engagement ends, for tax and legal reasons.
Unsubscribe requests: we keep your email address on a do-not-email list for as long as we send email, so we can honor the request.
Analytics: Google Analytics keeps event data for 14 months. Clarity keeps session recordings for about 30 days.
Error reports and server logs: kept for short periods, generally no more than 90 days.

When we no longer need information, we delete it or remove anything that identifies you.

7. Your rights and choices

Wherever you live, you can ask us to tell you what personal information we hold about you, correct it, delete it, or stop sending you marketing email. Email hello@buzzboxmedia.com. We will answer within 30 days and may ask you to confirm your identity first. We will not treat you differently for making a request.

California residents. California law (the CCPA, as amended by the CPRA) gives you the right to know, correct and delete your personal information, and to opt out of its sale or sharing for targeted advertising. We do not sell personal information. We honor these requests from anyone, and you may use an authorized agent to make one.

Visitors from the EU, UK and Switzerland. Under the GDPR you have the right to access, correct, delete, restrict or object to our use of your personal information, and to receive a copy of it. We rely on your consent (which you can withdraw at any time), on steps you asked us to take before entering a contract, and on our legitimate interest in running and improving our business. You can complain to your local data protection authority. Our service providers may process your information in the United States.

8. Security

We use reasonable safeguards, including encrypted connections (HTTPS), access controls and spam protection. No website is perfectly secure, so we cannot guarantee that information will never be accessed without permission.

9. Children

This site is for businesses and professionals. It is not directed to anyone under 16, and we do not knowingly collect their information. If you believe a child has sent us information, email us and we will delete it.

10. Other websites

Our site links to other sites, such as Talkspresso, LinkedIn and client websites. Their own privacy policies apply once you leave buzzboxmedia.com.

11. Changes to this policy

We will update this page when our practices change and revise the effective date at the top. If a change is significant, we will say so on this page.
